Question 1

What is Woodland Travel, and is it a local agency?

Accepted Answer

Woodland Travel is a family-owned, full-service luxury travel agency with over 75 years of combined experience across our leadership team, serving Woodland, Davis, Dixon, West Sacramento, Winters, and Yolo County. We are IATA-accredited, hold a California Seller of Travel registration (CST#2018558-40), and are part of Exquisite Travel Group, An Independent Affiliate of Montecito Village Travel, a Virtuoso Agency.

Question 2

What does a travel advisor do that I can't do myself online?

Accepted Answer

Booking sites show inventory; an advisor provides firsthand expertise, direct relationships with luxury suppliers, and access to VIP amenities that consumer engines cannot offer. Beyond itinerary design, we act as your personal advocate. When unexpected disruptions occur such as a flight cancellation or a hotel oversight your advisor resolves the issue in real time.

Question 3

Do I need to come in person to work with Woodland Travel?

Accepted Answer

No. While we welcome in-person consultations at our office, the majority of our clients work with us remotely via phone, email, and video call. We operate by appointment Monday through Saturday to ensure every client receives undivided attention.

Question 4

What geographic areas does Woodland Travel serve?

Accepted Answer

We primarily serve clients in Woodland, Davis, Dixon, West Sacramento, Winters, and all of Yolo County.

Question 5

How do I get started, and can I request a specific advisor?

Accepted Answer

Submit an inquiry through our contact form or call +1.916.454.2858. Share your travel vision, timeframe, and preferences, and we will schedule an initial consultation. If you wish to work with a specific specialist featured on our About Us page, simply request them when reaching out; otherwise, we will match you with the advisor best suited to your itinerary.

Question 6

How much does Woodland Travel charge for its services?

Accepted Answer

We operate on a transparent, value-driven pricing model: Sliding Scale Planning Fee: For custom FIT itineraries, multi-destination journeys, and destination weddings, we charge a sliding scale planning fee based on the complexity, time, and custom design required. This fee guarantees completely independent recommendations and unlocks VIP perks  such as complimentary room upgrades, daily breakfast, and resort credits ($100+ per stay)  that routinely exceed the cost of the fee itself. Supplier-Compensated Bookings: For straightforward hotel or cruise reservations, we are often compensated through supplier commissions, requiring minimal to no planning fees. Transparent Quotes: Your advisor will detail all fees clearly during your initial consultation before any planning begins.

Question 7

Can Woodland Travel book flights, and are there ticketing fees?

Accepted Answer

Yes. We handle complex international routing, multi-city air itineraries, and premium cabin bookings using preferred consolidated airfare. Because airlines no longer compensate agencies, we charge a modest ticketing fee for standalone air-only bookings. However, when airfare is integrated into a complete packaged luxury itinerary or custom journey designed by our team, this fee is often waived or included.

Question 8

How and when do I pay for my trip?

Accepted Answer

All deposits and final payments are processed securely directly through our supplier partners (hotels, cruise lines, tour operators) using major credit cards. Your advisor provides a payment schedule outlining deposit amounts, final payment deadlines, and relevant cancellation policies upon confirmation.

Question 9

Can I use loyalty points or miles for my trip?

Accepted Answer

Yes. We integrate hotel points, airline miles, and cruise loyalty status into your master itinerary and advise on when redeeming makes financial sense. Due to airline and hotel security protocols, point redemptions must be processed directly by you with the provider, but we handle the alignment of those legs within your overall schedule.

Question 10

How far in advance should I book a luxury trip?

Accepted Answer

6–12 Months: Ideal for peak-season European journeys, ocean and river cruises, safaris, luxury villa rentals, and high-demand resort properties (such as Aman or Four Seasons). 12–18 Months: Recommended for destination weddings and multi-generational group bookings. Short-Notice Travel: While early planning secures optimal availability, our direct supplier relationships allow us to curate last-minute luxury getaways that are not visible through public channels.

Question 11

What is Luxury FIT travel?

Accepted Answer

FIT stands for Fully Independent Travel a private, tailor-made itinerary crafted exclusively for you. There are no fixed group schedules, shared tour buses, or rigid paces. Every hotel, private guide, vehicle transfer, and dining reservation is individually selected to match your travel style.

Question 12

Which cruise lines do you partner with, and can you secure better value?

Accepted Answer

We are preferred partners with leading luxury and boutique lines including Seabourn, Silversea, Regent Seven Seas, Oceania Cruises, Viking, and Explora Journeys as well as premium ocean and river operators worldwide. As preferred partners, we consistently match or beat direct rates while adding exclusive amenities such as shipboard credits, prepaid gratuities, complimentary shore excursions, and cabin upgrades.

Question 13

What is the difference between ocean cruising and river cruising?

Accepted Answer

Ocean cruises utilize mid-sized to large ocean-going vessels featuring extensive onboard amenities, visiting major global ports and coastal regions. River cruises utilize intimate vessels carrying fewer passengers along inland waterways (such as the Danube, Rhine, or Mekong), docking directly in city centers for immersion into local culture.

Question 14

Does Woodland Travel book Disney vacations?

Accepted Answer

Yes. Our designated Disney specialists hold official credentials from Disney's professional training programs and visit the destinations regularly. We manage bookings and day-by-day itineraries for Walt Disney World, Disneyland, Disneyland Paris, Adventures by Disney, and Disney Cruise Line securing advance dining, VIP tours, and character experiences.

Question 15

What services do you provide for destination weddings?

Accepted Answer

We manage complete travel logistics for couples and their guests. This includes selecting resorts, securing group room blocks, coordinating group airfare and ground transfers, and liaising with the on-site wedding coordinator. We handle all guest bookings directly so you can focus on the event itself.

Question 16

How far in advance should we begin planning a destination wedding?

Accepted Answer

Planning should begin 12 to 18 months prior to the event date. Luxury venues and preferred room blocks in destinations like Los Cabos, the Riviera Maya, Italy, and Greece reserve far ahead of time, and guests require ample notice to organize travel.

Question 17

Can you manage multi-generational or corporate group travel?

Accepted Answer

Yes. We coordinate family reunions, milestone anniversaries, friends' getaways, and corporate incentive trips. We manage multi-room reservations, group rates, shared excursions, and individual payment processing, allowing individual travelers flexibility within the overarching group schedule.

Question 18

Do I need travel insurance, and what is CFAR?

Accepted Answer

Travel insurance is strongly recommended for any journey over $5,000 to protect non-refundable investments and guard against costly international medical emergencies or evacuations. Standard Policies: Cover trip cancellation, trip interruption, medical emergencies, evacuation, and baggage delays. Cancel For Any Reason (CFAR): An optional policy upgrade that allows you to cancel a trip for reasons outside standard policy coverage, reimbursing 50%–75% of prepaid, non-refundable costs. CFAR must generally be purchased within 14–21 days of making your initial trip deposit.

Question 19

What do IATA accreditation and Virtuoso affiliation mean for clients?

Accepted Answer

IATA Accreditation: IATA accreditation certifies that Woodland Travel meets strict financial compliance standards and is authorized to issue airline tickets directly through global distribution systems. Virtuoso Affiliation: Through our membership in Exquisite Travel Group, our Virtuoso affiliation provides our clients with unlisted amenities, room upgrades, early check-in/late check-out, and daily complimentary breakfast at top luxury hotels worldwide.
